Who we are
Shot by Dylan is an independent motorsport photography site run by Dylan Sharpe, covering racing at Warton Stock Car Club. You can reach us at hello@shotbydylan.co.uk. This policy explains what happens to information when you visit shotbydylan.co.uk.
What we collect, and why
- Basic technical logs. Like almost every website, our hosting provider (Netlify) automatically records standard technical details, such as IP address, browser type, and pages requested, for security and reliability. We don't use this for tracking or advertising, and we don't access it for any other purpose.
- Anonymous visit counts, only if you agree. To see which galleries people look at and download, each page sends one short note: the page, the gallery or driver it shows, and what kind of site you came from (for example Facebook or Google). It doesn't include your IP address, a cookie or any ID, so it can't be linked to you, and it's only sent if you agree when you first arrive (and never if your browser asks not to be tracked). You can change your answer at any time from “Cookie settings” at the foot of every page or on the Cookie Policy page.
- If you email us. If you get in touch (for example, by clicking our contact email), we'll have your email address and whatever you choose to tell us, just like any other email. We use this only to reply to you, and we don't add you to a mailing list or share it with anyone else.
- If you create a driver account. Creating an account on My Photos is entirely optional, and only useful if you want your own race photos collected in one place. If you sign up, we store your email address using our identity provider (Netlify Identity), and we use it only to let you sign back in and to match your account with your driver profile.
- Driver profiles (public). If you have a driver profile, it is shown publicly in the Drivers section of this site. That includes your name, car number, series, championship position and the photos assigned to you. You can also choose to add a profile picture, a short bio, and links to your Instagram and Facebook. Anything you add yourself is visible to anyone who visits the site. Your email address is never shown. Profiles are set up by us for drivers who have asked for one or agreed to it, are stored with our storage provider (Netlify Blobs), and, like everything public on the site, can appear in search engines.
- Photos of individuals. This site publishes photographs taken at public motorsport events, which may show identifiable people and cars. Photos assigned to a driver profile are described with that driver's name and car number, so they can be found by name. If you, your car, or someone in your care appears in a photo and you'd like it removed, open the photo full size and press “Ask to remove this photo”, or email us. No reason is needed.
Search engines and Google Search Console
Everything public on this site, including galleries, photos and their descriptions, and public driver profiles, can be found through Google and other search engines, and photos can appear in Google Images. The admin panel is kept out of search engines.
We use Google Search Console, a free tool from Google, to check that Google can read the site and to see how it does in Google Search: which searches it appears for, and how often people click through to it. Google reports these figures to us as totals; they don't tell us who you are. Search Console adds nothing to this site (no cookies, scripts or tags), and this site doesn't send Google any information about you. When you search on Google, Google handles your search under its own privacy policy.
When a photo is removed from this site, its file is deleted, so its link stops working everywhere. Search engines can keep showing an old copy in their results for a while until they next check the page; for removal requests we also ask Google to drop it from its results straight away.
What we don't do
- We don't use cookies or tools for advertising or for tracking you across other websites.
- We don't sell or share your information with third parties for marketing purposes.
- We don't require an account, sign-up, or any personal details to browse or download photos — every gallery is open to everyone. A driver account is entirely optional, and exists only to make it easier to find your own photos.
Our legal basis for processing (UK GDPR)
Where we handle any personal data, such as replying to an email, we rely on legitimate interest (responding to a query you've raised) or, where relevant, the fact that you've chosen to contact us directly. Publishing race photos taken at public events, and letting search engines show them, relies on legitimate interest: sharing photos of the racing with the people involved and their supporters, free of charge. You can object at any time by asking for a photo to be removed. For driver profiles, and for anything you choose to add to yours, we rely on your consent, which you can withdraw at any time by removing what you've added or emailing us. Anonymous visit counts and the “new gallery” markers only happen with your consent, given or refused when you first arrive.
How long we keep information
We keep emails only as long as needed to deal with your enquiry. Anonymous visit notes are deleted after 90 days. Technical logs are retained by our hosting provider, Netlify, according to their own retention practices.
Your rights
Under UK GDPR, you can ask what personal data we hold about you, ask us to correct or delete it, and object to how it's used, including asking for any photo of you, your car or someone in your care to be removed. If you have a driver account or profile, this includes deleting your account and removing your public profile entirely. You can also edit your own picture, bio and links yourself at any time from My Photos. To do any of this, email hello@shotbydylan.co.uk. You can also complain to the UK's data protection regulator, the Information Commissioner's Office (ICO), if you're unhappy with how we've handled your data.
Children
We don't knowingly collect personal data from children. Junior classes race at Warton, so children do appear in some race photos. A parent or guardian can ask for any photo of their child to be removed, with no reason needed: open the photo full size and press “Ask to remove this photo”, or see photo removal on the contact page. We take it down as soon as we see the request: the photo is deleted from the site and from any driver profile, and we ask Google to remove it from its search results.
Third parties involved in running this site
- Netlify, for hosting, admin and driver account sign-in, and photo storage. See Netlify's privacy policy.
- Google, through Google Search Console, which shows us how the site appears in Google Search (see above). Google only sees what's publicly on the site, the same as any search engine. See Google's privacy policy.
- Instagram and Facebook, only if you follow a link from a driver's profile. Those sites have their own privacy policies and we don't control them.
Changes to this policy
We may update this policy occasionally. The date at the top shows when it was last changed.
